How to move a garage from paper job sheets to digital

Most independent garages don't run on paper because they love paper. They run on it because it works — until it doesn't. The job card is under a toolbox, the customer's mobile number is on a sticky note, and the labour you definitely did never quite made it onto the invoice.

Moving to digital job sheets is not a six-month IT project. Done properly, it's a couple of quiet weeks. Here's the approach we see work in real workshops.

Step 1: Start with today, not the archive

The biggest mistake is trying to digitise ten years of history before you book in tomorrow's MOT. Don't. Start with the next car through the door: create the customer, add the vehicle, open a job sheet.

History builds itself naturally. When an old customer comes back, that's when you add their record — it takes under a minute, and after a few months your regulars are all in the system without a single painful data-entry weekend.

  • Create customers and vehicles as they arrive, not in bulk
  • Type a registration and let VRM lookup fill in the vehicle details
  • Keep the paper pad for one week as a comfort blanket — you'll stop reaching for it

Step 2: Put a tablet in the bay

A job sheet that only lives on the office PC fails, because the technician is never at the office PC. The whole point is that the person doing the spanners updates the job: photos of the fault, parts used, labour time, signed off when it's done.

Step 3: Let the invoice write itself

On paper, invoicing is a second job: decipher the card, add up the labour, find the parts prices, type it all into a spreadsheet. Digitally, the job sheet already contains everything — parts, labour hours, the agreed estimate. The invoice is one click, on your headed PDF, with your numbering.

This is where the real money comes back. Unbilled labour and forgotten parts are the silent cost of paper; when the invoice is built from the job, nothing gets left off.

Step 4: Turn on the reminders

Once customers and vehicles are in the system, MOT and service reminders go out by SMS or email without anyone remembering to send them. That's work coming back through the door on its own — the bit paper can never do.
